Full-service EcoVadis submissions

When a customer asks for an EcoVadis assessment, start by clarifying what they need: a completed submission, a minimum score, minimum theme scores, or a particular medal. Those are different requirements, and each calls for a different plan.

For the sustainability lead, compliance owner, or operations manager handling the request, the next challenge is practical. Policies sit with HR. Environmental data lives with operations. Procurement owns supplier records. Someone has to bring that information together, check it, and prepare the response.

Full-service EcoVadis support helps coordinate that work. It connects the customer's request with your existing sustainability program, the evidence behind it, and the improvements your team can realistically implement.

What does full-service EcoVadis support include?

Full-service support means helping manage the submission process from initial review through the next improvement cycle. When comparing providers, ask who owns each task, what your team must supply, and how approvals work.

If you’re responsible for responding to a customer’s EcoVadis request, start by sharing that request and your previous scorecard, if available, with your support provider. Together, confirm which entity will be assessed, identify who owns the supporting documents, review the questionnaire, and set a preparation schedule.

Greenplaces' EcoVadis service includes scorecard review, support formalizing policies and evidence, assessment submission, and preparation for the following cycle.

Your internal team still needs to confirm that information is accurate, approve policies, and carry out operational changes.

How the EcoVadis assessment works

EcoVadis provides sustainability ratings that help businesses assess trading partners. Its methodology examines policies, actions, and results, with a questionnaire customized to the company's activity, size, and operational locations.

The assessment covers four themes: Environment, Labor and Human Rights, Ethics, and Sustainable Procurement. Industry based “Key Sustainability Issues” shape the questions your company receives. Review your actual EcoVadis questionnaire before building a document checklist.

Preparation should connect each answer with the practice and evidence it describes. For example, a commitment to improve working conditions needs a clear policy; an answer about implemented training needs records showing that training occurred.

Keep corporate sustainability claims specific. If an initiative covers one facility, describe that boundary. If a procedure is planned, distinguish it from a measure already operating across the business.

Six steps to prepare a full-service submission

1. Define the requirement and scope

Review the customer’s request with your support provider. Confirm which entity needs to be assessed, whether the customer expects a completed submission, minimum overall or theme scores, or a particular medal, and when they need the published scorecard. Work backward from that date to allow time for preparation and EcoVadis’ standard six-to-eight-week analysis period after submission. Confirm the submission deadline shown in your EcoVadis account and flag any timing conflicts early.

Review your registration details with your support provider and confirm which legal entity, sites, and operations the assessment covers. Include applicable parent-company policies when gathering evidence, alongside documents that show the assessed entity’s own practices.

Set priorities around the actual request. A first submission designed to establish a baseline requires different planning from an engagement focused on a customer-specified EcoVadis score.

2. Review the scorecard or establish a starting point

For a returning participant, read the strengths and improvement areas in the scorecard. EcoVadis assigns suggested priorities to improvement areas, providing a starting point for your action plan.

Then investigate each gap. Does an existing policy need to be revised to address a missing commitment or target? Has an action been implemented without supporting records? Are relevant performance metrics being tracked and reported? Use those findings to identify the changes and evidence needed before your next submission.

First-time participants can use the questionnaire to organize the same review. Build a working inventory of existing practices and missing evidence before committing to a target outcome.

3. Gather evidence across the four themes

Give each theme an internal owner. Ask those owners to review the applicable questions and collect documents that support their answers.

For Environment, examine the evidence behind relevant environmental commitments and activities. Where applicable, connect decarbonization plans with emissions data, implemented measures, and progress tracking.

For Labor and Human Rights, work with HR and operational leaders to review applicable workforce practices, including working conditions and employee protections.

For Ethics, involve the people responsible for business conduct and anti-corruption controls. For Sustainable Procurement, review how purchasing teams identify sustainability risks and address supplier risk.

These are starting points for discussion. Your assigned questionnaire determines which topics need evidence. For Sustainable Procurement, describe the suppliers and purchasing activities actually covered by your processes.

4. Check document quality and address gaps

EcoVadis requires relevant, current, complete evidence connected to the assessment scope. It does not accept documents created solely to satisfy its questionnaire or copied material without reasonable evidence of implementation.

Review dates, company names, boundaries, and supporting records. Check whether a document shows a commitment, an implemented action, or a measured result, then use it appropriately.

A sustainability report can provide useful information, but review the specific content before attaching it to an answer. Make sure the relevant practice is documented clearly.

Where a genuine management gap exists, assign an owner and implementation steps. Allow time for approval, communication, deployment, and evidence collection. Treat policy development as part of running the business, with responsibilities that continue after submission.

5. Prepare, review, and submit the questionnaire

Use a response tracker to connect questions, proposed answers, supporting documents, reviewers, and unresolved issues. This gives your team one place to see what remains outstanding.

Before submission through the EcoVadis platform, review the response as a whole. Check that dates, metrics, entity boundaries, and claims agree across sections. Resolve conflicting descriptions with the responsible business owner.

Confirm who approves the final response and who handles any follow-up requests. Keep the approved answers and evidence organized so the next assessment starts with a usable record.

6. Turn feedback into an improvement plan

Once results arrive, review the EcoVadis rating alongside the customer's original requirement. Discuss any remaining gaps with the customer.

Use a corrective action plan to assign work, deadlines, and evidence requirements. The EcoVadis platform includes a feature for managing corrective actions and supporting collaboration on improvements.

Connect the improvement plan to your enterprise risk management process. Record customer requirements, gaps that could affect your ability to meet them, accountable owners, and mitigation deadlines in your risk register. If your company also maintains a SOC 2 program, coordinate risk reviews and action tracking with that team while keeping each assessment’s requirements distinct. Collect implementation records throughout the year to support reassessment.

Choosing the right level of support

Assess your team's capacity before selecting a provider. If you have experienced owners and organized evidence, targeted questionnaire guidance or scorecard review may be sufficient.

If one person is coordinating sustainability assessments across multiple departments, broader support may help manage the process. Ask providers to explain their deliverables, approval requirements, and approach to evidence gaps.

Before signing, request a written scope that separates submission work from ongoing improvements to sustainability performance. Clarify whether the engagement includes policy review, data preparation, employee training guidance, and follow-up after the scorecard arrives. Ask how additional entities or frameworks affect the scope and price.

Choose a working approach your team can maintain. A spreadsheet and regular check-ins may suit a smaller organization; a mature program may need workflows that fit its existing systems. Either way, keep access to your approved evidence and final response. The next cycle should build on work your organization understands, owns, and can continue using after the engagement ends.

Discuss other requests, too. Information gathered for EcoVadis may be useful for CDP or reporting work associated with CSRD. Review each output separately for its applicable scope and requirements; plan evidence reuse without assuming the submissions are interchangeable.

Frequently asked questions

Can EcoVadis support guarantee a silver medal?

No. EcoVadis support can help you identify gaps, implement improvements, and prepare supporting evidence, but it cannot guarantee a silver medal. EcoVadis determines the result. Silver requires a percentile rank of at least 85, placing your company among the top 15% of assessed companies, plus compliance with additional eligibility criteria.

Can support help with a low EcoVadis score?

Yes. Greenplaces offers scorecard review and score improvement support. Start by identifying the documented gaps, then decide which changes your team can implement and substantiate before its next submission.

How long should we allow for a submission?

Build a schedule that includes evidence collection, internal approvals, and EcoVadis analysis. EcoVadis states that standard scorecard publication takes six to eight weeks after questionnaire submission. Confirm current timing and your customer's deadline before setting the plan.

Where can we find official EcoVadis guidance?

Visit the EcoVadis website and Help Center for guidance on the EcoVadis methodology, supporting documents, questionnaire, and recognition criteria. Use those resources alongside your company's assigned questionnaire when preparing a response.
